When your business quickly grows immensely in a short amount of time, how do you ensure you’re fully equipped? Does your team need to step up its game?
Brian, the owner of an operations consulting business, recently took on many new clients and business skyrocketed. Although his team could keep up, Brian felt a need for more training. Being in the realm of business development, Brian recognized that his team needed to be true to its mission and continue to optimize its time to be the most productive and efficient it could be. The added pressure of consistent business and work revealed the fact that occasionally time is used poorly.
As a consultant, Brian knows the importance of identifying improvements and streamlining processes. However, spending time improving other people’s businesses means he doesn’t have the time to assess, research, and create presentations for his team on these subjects. Brian needed to find training so that his employees could learn tactics to keep up with demand, make the best use of their time, and see their professional abilities reflected in the way the business operates.
Brian wanted to create a space where his 8 consultants could gather and learn how to keep on top of their time management. Brain invited the project managers, specialists, and partners on his team to participate in the training as well.
Challenges Among The Operations Consulting Team
Because there were very few pressing issues at his firm, Brian determined what he needed from his training based on his team’s regular or recurring challenges, as well as what he envisioned for the future of his business.
Here is what Brian recognized as the team’s current challenges and needs:
- Managing multiple projects for different clients
- Finding uninterrupted time to analyze data to make better-informed decisions
- Making communication with stakeholders a priority
- Allowing adequate time to strategize solutions
- Keeping up with trends, best practices, technology, and industry changes
All in all, Brian was looking for training to help his team build an authentic brand by learning how to value their time and balance their work with professional development. Due to the many different clients, projects, and processes his consultants must take care of every day, Brian concluded that his team needed tools to help prioritize their tasks, make quality time for what is most important, and overall reach higher productivity without a loss of motivation, reputation, or morale.
Why GettaMeeting?
Brian ultimately chose GettaMeeting for his team training. GettaMeeting was recommended by a friend, so he headed to the website and decided on the “Enhanced Focus: Power of Ten” meeting module from the Workplace Productivity Series.
What sold Brian on the module was its comprehensive nature - it included everything Brian needed, which meant he did not need to do any additional research after purchasing the module. He also found the main topics of the module to perfectly align with what his team was struggling with. The module description hinted at themes of using time intentionally, minimizing distractions, focusing on the most important tasks, how to value your time, and overall improving work performance. The Enhanced Focus: Power of Ten module was “a no-brainer” as it “literally checked all of the boxes,” according to Brian.
How The Operations Consultants Team Used “The Enhanced Focus: Power of Ten” Meeting Module
Prep
To prepare for the upcoming meeting, Brian downloaded all of the assets and sent out a meeting invitation to his consultants and employees who would benefit from the meeting but were not obligated to attend. After everyone responded to the invite, Brian started to assemble everything for the meeting using the provided Enhancements PDF. Because he does not have much time, Brian blocked out one hour to do everything necessary for the meeting.
From the PDF, he chose one of the book recommendations for each participant based on which of the three books he believed would resonate with each participant the most. After ordering the books online, he printed out copies to include in the books when they arrived.
Next, he ordered takeaway items from the links provided, which took care of notebooks and pens for the meeting. At the same time, he chose a few themed decorations to decorate the conference room and prizes for team-building games. Brian then printed copies of the inspirational quotes and word clouds to include in the notebooks when participants arrived to the meeting.
He then completed the Enhancements suggestions by putting in an order with a local poké restaurant to deliver food on the day of the training.
Brian was shocked that he was able to prepare everything in such a short amount of time. He said: “I was expecting to have to find time over multiple days to prepare everything and set everything up because my schedule is very tight, but I got it done within an hour. It was really great to have suggestions and links to products, too, because I didn’t have to go searching for them myself…such a good resource for busy people like me.”
Facilitation
On the day of the meeting, Brian took 10 minutes to put up the decorations he ordered in the conference room, add the inspirational quotes to the notebooks and place them on each chair with a pen, and put the book club questions in the books that came in the mail.
When everyone arrived, Brian briefly discussed with the team why he chose the Enhanced Focus: Power of Ten training and communicated his desire to help his team grow and provide authentic service that matches the brand he has built.
He then played the video and paused it when prompted for discussion questions. After the video, everyone made their lunch (provided by the poké restaurant), and then sat down to talk about the video.
Brain recalled his employees describing it as “thought-provoking”, “interesting and helpful,” and “actually enjoyable”! He also noted that the team appreciated having moments throughout the video to pause and reflect, make notes, and give them a true chance to think about the material.
When lunch concluded, the team played two of the team-building games and won prizes, which brought the meeting to an exciting and fun ending. As they left, Brian handed each person the book he had chosen for them.
Following the meeting, there was a shift in the office. Brian’s team started pinpointing and minimizing low-value tasks, leaving more time to dedicate to bursts of focus. Consultants made time to make substantial progress on every project, communicate more consistently with stakeholders, and analyze data effectively. With the knowledge from the training, Brian’s employees naturally created moments for brainstorming and/or collaboration to find innovative solutions to their problems. They even began to prioritize keeping up with changes in the industry and ways to move the company forward. Most importantly, the operations consulting business' authenticity became more apparent to clients and higher quality service was provided.
Brian was ecstatic about how his team responded to the training, saying “nothing has been as effective as this module - my team really absorbed the information and were clearly inspired to be the change they wanted to see, starting with their time management. I’m super impressed with my team and with GettaMeeting for getting us to where we needed to go.”
