Securing New Clients Through Creativity and Workplace Design: A Case Study

Three people stand around a desk looking at color swatches on paper. On the desk is also a laptop, monitor, and keyboard.

When our small business starts to grow consistently, we’re struck with relief and excitement. However, these emotions can easily be overshadowed by the daunting question of “what’s next?”

A small, contemporary graphic design firm in Chicago, Illinois knew this predicament well as it grew for a few months before management decided that the office - and team - needed an upgrade.

Because of the intimately small nature of the business, owner Alisha understood how important client relations are to success. She knew her team needed to stay innovative and creative while maintaining a professional atmosphere so clients would be drawn to the business and become loyal customers.

Because employees often head their own projects and often meet with different clients in the office, Alisha also recognized her duty to support her employees in leading their own projects with creativity.

Main Concerns

Alisha narrowed down what she wanted from a training session to help her team, as well as herself, in navigating change. She primarily wanted her team to take charge of their roles, revamp the office space to be more inviting and creative, and inject some inspiration back into her team. She specifically wanted to accomplish the following:

  • Encourage employees to take creative leadership in their roles
  • Help team members become more deliberate and thoughtful in their design choices
  • Create a welcoming, inspiring, and comfortable workplace, especially for potential and new clients
  • Encourage employees to dress the part: professionally yet creatively
  • Increase productivity to ensure the team can handle higher demand as the business continues to grow
  • Boost collaboration and innovation

Why GettaMeeting?

Alisha ultimately chose GettaMeeting to provide training for her team because of the unique meeting themes and objectives she had to choose from. She was tempted by multiple of the modules, yet Alisha decided to purchase the Cultivate Presence: Owning The Stage module because she was shocked by how perfectly it aligned with her goals for the training.

“I was reading the descriptions of some of the modules but when I came to this one, it was an instant ‘add-to-cart.’ It’s literally perfect for my team and I know a lot of other designers would be drawn to it too.”

Because her schedule gets busier every day, Alisha also appreciated the fact that the module saved her hours of meeting prep work.

The module gives teams the confidence and strategies to positively impact their organization through a theater-inspired training video. From cultivating confidence to finding one’s narrative and personal preferences, the meeting module inspires teams to show up authentically at work and contribute positively to the workplace. Teams also learn the impact of elements such as color, and lighting, and how to curate workspaces to give us energy, inspire us, and boost productivity.

How Alisha Used The Cultivate Presence: Owning The Stage Module

After purchasing and downloading the module assets, Alisha went all out in preparation for the meeting. Although the meeting enhancements are optional, she used all of them. She ordered the suggested books for the meeting attendees and printed copies of the word cloud, inspirational quotes, and book club questions.

She chose to facilitate all three of the team-building games, so she ordered prizes for them along with small takeaway items. She placed a food order so her team could snack during the meeting and also ordered some decorations online. Lastly, she created the suggested playlist on Spotify.

In less than an hour and a half, Alisha had gone above and beyond in preparation for her best meeting yet, hoping her team would be inspired and motivated.

Energy on the day of the meeting was high as Alisha’s small team piled into the conference room with snack plates in hand. Alisha played the playlist as people entered and encouraged them to take a book, book club questions, a themed notebook, and a pen. She then played the meeting video, pausing when prompted for moments for reflection. When the video ended, the team shared their thoughts and notes before doing the three games and winning prizes. Participants then grabbed a takeaway item to remind them of the meeting content and went about the rest of their day.

Results

How the office transformed in the following weeks shocked Alisha (and her team!)

“I knew this meeting module would boost my team’s creativity and help with some of the things I wanted to address, but I was really surprised by just how much changed for the better after we had the meeting.”

The first noticeable difference was the way the team dressed. The meeting encouraged everyone to take more creative liberty in the way they dress and how to dress for success using some color theory. Alisha’s team grew more confident and started silently communicating to clients their creative abilities while being professional. The office also became more lively as people started expressing themselves more through their attire.

A graphic designer on the team suggested a desk decorating contest, so the team had a week to makeover their workspaces and vote on the best and most creative one. Using the knowledge gained from the module about how to make our spaces reflect us and what we desire out of our work, much more personality was injected into the office which also made employees feel more comfortable.

Days following the meeting, Alisha called a quick brainstorming session to figure out how she could make the office more welcoming, and bold, yet comfortable, especially for new clients. After coming up with some ideas based on knowledge from the module, an interior decorator friend came into the office to add wallpaper, furnishings, plants, soft elements, and lighting. More areas for conversations were created so that employees could easily meet up to come up with ideas, run projects by each other, and meet with clients. Because of this much-needed upgrade, more innovation and creativity started to flow naturally in the updated office.

Most importantly, in the weeks after the meeting, almost every new potential client became an official customer. As employees showed up with confidence and creativity to a warm, welcoming, and professional office, new clients received the unique experience they were promised.
